Adding a Facts Sheet

A Facts Sheet is the structured data record of your accommodation property. It is the primary document Ananas GDS distributes to tour operators, travel agents, and connected systems. Think of it as a permanently live, always-up-to-date replacement for the static PDF fact sheets that hotels email to operators every season.

Facts are entered once and stored. Any update you publish is immediately reflected in partner APIs, generated PDFs, and email exports — no re-sending required.

The fact sheet covers 12 sections spanning general property info through facilities, rooms, food & beverage, entertainment, sports, kids areas, and more. If your property has a feature not covered in the app, contact support to request it.

Full Input Process

  1. Register your property
    Go to Manage Properties and add the property. See Create a Property.
  2. Open Manage Facts and select your property
    Navigate to Manage Facts from the sidebar and click on the property you want to fill.
  3. Work through each tab
    The fact sheet is split into tabs: Main Info, Environment, Facilities, Rooms, Food & Beverage, All Inclusive, Children, Entertainment, Sports & Wellness, Additional Info, Maintenance, and Partner Hotel. Fill each tab using checkboxes, dropdowns, select boxes, and free-text fields.
  4. Resolve validation errors
    Required fields that are missing will be highlighted with a red exclamation-mark icon. Address all errors before proceeding.
  5. Click “Save & Publish”
    Located top-right. Saving without publishing stores your data in draft — it will not be visible to partners or APIs until you publish.
  6. Upload photos via Manage Photos
    Navigate to Manage Photos, select the property, and upload images. The system combines text data and images when generating documents and API responses.
  7. Access outputs via Export Center or API
    Once published, the fact sheet is available for PDF download and email in Export Center, and immediately accessible via the API endpoints.

Important: Rooms and stop sale are linked. Every room you create in the Rooms tab is automatically added to your availability calendar. Deleting a room from the fact sheet removes it from the calendar and breaks any live stop sale data for that room that partners may be consuming via API.

Sheet Sections Reference

Below is a complete reference for every tab in the fact sheet editor.

1. Main Info

General accommodation information.

  • Property name (pre-filled from Manage Properties)
  • Full address (street, city, country, postal code)
  • Primary email address
  • GPS coordinates: latitude and longitude
  • Check-in and check-out time
  • Minimum guest age allowed
  • Tax information: local taxes, tourist taxes, included vs. on-site payment
  • Extra mandatory fees payable on-ground (e.g. resort fees, cleaning fees)
  • Official star rating
  • Total number of rooms / units
  • Year built and last renovation year
  • Partner Hotel toggle (enables the Partner Hotel tab when checked)

2. Environment

Location and surrounding area.

  • Surrounding nature type: city center, beach resort, mountain, rural, lakeside, etc.
  • Nearest airport with estimated distance and travel time
  • Nearest train station and bus station
  • Nearest shopping center and distance
  • Nearest restaurants (outside property) and distance
  • Available transportation to/from the property: public bus, taxi, shuttle, rental car, etc.
  • Beach information: private, public, or shared beach; distance; sand or pebble type; beach facilities (sunbeds, umbrellas, water sports)
  • Sea description: open sea, bay, lagoon, lake

3. Facilities

Everything within the property perimeter.

  • Swimming pools: number, indoor/outdoor, heated, size, depth, children’s pool, pool bar
  • Aquapark: slides, lazy river, wave pool
  • Outdoor areas: garden, terrace, sundeck, barbecue area, amphitheater
  • Indoor facilities: lobby, lounge, business center, conference room, library
  • On-site restaurants: number, cuisine types, dress code, reservation required
  • On-site bars and cafés: number, type (poolside, lobby, rooftop)
  • Parking: on-site (free or paid), garage, valet; off-site parking availability
  • Number of floors and buildings
  • Reception hours: 24/7 or limited
  • Services: concierge, luggage storage, laundry, currency exchange, ATM, gift shop
  • Wi-Fi: availability, areas covered, free or charged
  • Elevator availability
  • Accessibility: wheelchair access, accessible rooms, facilities for disabled guests

4. Rooms

Individual room and unit definitions. Each room added here will appear as a separate entry in the generated document and in the stop sale calendar.

  • Room name / category (e.g. Standard Double, Deluxe Sea View Suite)
  • Room view type: sea view, garden view, pool view, city view, mountain view, no view
  • Room size in m²
  • Floor levels available
  • Access type: direct pool access, private terrace, shared terrace
  • Bed configuration: single, double, twin, king, bunk beds — with counts
  • Extra bed availability
  • Maximum occupancy (adults and children)
  • Air conditioning: yes/no, individual control
  • Heating: yes/no
  • Bathroom: en-suite, shower only, bathtub, both, outdoor shower
  • Balcony or terrace: yes/no, size
  • In-room amenities: mini-bar, safe, hair dryer, TV, phone, kettle, iron, coffee machine, etc.
  • Connecting rooms available
  • Smoking / non-smoking classification

Do not delete rooms unless absolutely necessary. Deletion removes the room from the stop sale calendar and may break partner integrations consuming that room’s availability data. Instead, edit the room’s name or details to reflect any changes.

5. Food & Beverage

Board plans, meals, and dining options.

  • Available board plans: Room Only (RO), Bed & Breakfast (BB), Half Board (HB), Full Board (FB), All Inclusive (AI)
  • Breakfast type: buffet, continental, à la carte, American
  • Lunch and dinner: restaurant name, cuisine, style (buffet, set menu, à la carte)
  • Gala dinners and special occasion meals
  • Dietary options available: vegetarian, vegan, halal, gluten-free, kosher
  • Meal times for each service
  • Dress code requirements

6. All Inclusive

This tab becomes active only when All Inclusive is selected in the Food & Beverage tab.

  • Included alcoholic beverages: local only, international brands, premium brands
  • Soft drinks and juices: always included, during meals only, all day
  • Snack availability: mid-morning, afternoon, late night
  • Minibar: stocked daily, on request, charged separately
  • Room service: included or extra charge
  • Beach/pool bar included hours
  • Ultra All Inclusive / Ultra Premium distinctions
  • What is explicitly not included in the AI package

7. Children

Kids facilities, services, and policies.

  • Kids club: yes/no, age range, operating hours, free or charged
  • Baby club (for infants under 3): yes/no
  • Playground: yes/no, indoor/outdoor
  • Mini disco / kids entertainment
  • Children’s pool details (separate from main pool)
  • Children’s menu in restaurants
  • Baby cots: available on request, free or charged
  • Babysitting service: yes/no, in-house or external provider, pricing model
  • Minimum age for unsupervised access to pool areas

8. Entertainment

Animation and daily/evening entertainment programs.

  • Daytime animation team: yes/no
  • Evening entertainment shows: theater, dance, live music, themed nights
  • Outdoor cinema
  • Game room / casino
  • Entertainment program frequency: daily, weekly, seasonal
  • Entertainment offered at a partner/sister hotel (see Partner Hotel tab)

9. Sports & Wellness

Athletic and wellness facilities.

  • Fitness center / gym: yes/no, equipment type, operating hours
  • Spa: yes/no, treatments offered, separate facility or in-room
  • Sauna, steam room, hammam
  • Yoga / pilates: classes, outdoor/indoor
  • Water sports: windsurfing, kitesurf, jet ski, snorkeling, scuba diving — included or extra
  • Land sports: tennis, mini golf, basketball, volleyball, archery, cycling
  • Organized excursions offered on-property
  • Sports instructor: in-house or external provider

10. Additional Info

Complimentary inclusions and extra services.

  • Welcome amenities (e.g. bottle of wine, fruit basket, flowers)
  • Complimentary inclusions: tickets to theme parks, national park entry, safari, cultural tours
  • Transfer services: airport transfer, included or extra
  • Loyalty program or guest rewards
  • Meeting and event facilities
  • Languages spoken by staff
  • Pet policy: allowed, breeds/size restrictions, charged
  • Additional notes: any information not covered by other sections

11. Maintenance

Planned works and temporary closures.

  • Renovation in progress: yes/no, area affected (rooms, pool, restaurant, etc.), expected completion
  • Temporary facility closures: start and end dates, reason
  • Seasonal closure of the whole property
  • Impact level: minimal (outside areas), moderate (some facilities), significant (major disruption)

Including maintenance information sets correct expectations for guests booked by your tour operator partners, reducing complaints and disputes about facilities unavailable during their stay.

12. Partner Hotel

Information about a sister or linked property that shares services with this one. This tab is disabled by default — enable it by checking the Partner Hotel checkbox in the Main Info tab first.

  • Partner hotel name
  • Services shared: restaurants, bars, beach, pools, sports, spa, entertainment
  • Distance between properties
  • Transfer between properties: shuttle, walking, etc.
  • Shared access policy: all guests have full access, restricted access, or charged

Rooms & Stop Sale Calendar Link

When you add a room in the Rooms tab and publish the fact sheet, that room automatically appears as a row in the Availability Chart / Stop Sale Calendar. This means your facts and your availability are always synchronized — you cannot accidentally have a room in the calendar that doesn’t exist in your facts, or vice versa.

Manage rooms carefully. Rename rooms rather than deleting and re-creating them to avoid disrupting partner API feeds.

Adding Photos

Photos are managed separately from the text fact sheet, via Manage Photos in the sidebar.

  1. Navigate to Manage Photos and select your property
  2. Upload images
    Supported formats: JPEG, PNG, WebP. Maximum file size depends on your plan. The Free plan has resolution and total image count limits.
  3. Categorize photos
    Tag images to areas: exterior, lobby, pool, beach, room, restaurant, spa, etc. This categorization determines how they appear in generated documents and API responses.
  4. Set primary photo
    The primary photo appears as the cover image on generated fact sheets and in the Marketplace profile.
  5. Publish
    Photos are stored with hashed URLs and are accessible via the Photos API.
